Great Western Chapter (GWC) Harley Owners Group (H.O.G.®) is run by members, for members, under a framework provided by H.O.G.®. GWC is supported by the sponsoring dealer Riders of Bristol. Therefore, GWC require information from members to provide members access to GWC products, events, rideouts and online resources. GWC hope this page will clearly explain what GWC collect about members, how GWC process the information and what information GWC share, and with whom.
By giving GWC personal information, members are consenting to GWC collecting and using the information described in this privacy policy. This policy covers information provided by members via the Join It membership platform GWC subscribe to. This will include:

Your name, residential address and email address

Your H.O.G.® membership number. During membership application and annual membership renewal, GWC have a requirement to verify applicants have an active membership with H.O.G.®. Note, a person cannot be a member of a H.O.G.® Chapter without an active H.O.G.® membership.
In the event of a data breach GWC will inform any/all members affected.
Information we store about you:

What collected data / information will be used for:
The information collected by GWC is used to identify you. A members’ email address will be used to:

serve as login details to access the members-only area of the GWC website

contact a member about membership or for renewal reminders

emergency contact details are collected in case of an emergency during a rideout or event

send a member update on activities, rideouts or important announcements.

A photo of a member may be used, or published, to the GWC digital quarterly ‘RoadHOG’ magazine and/or uploaded to the online GWC and/or H.O.G.® online galleries.

RoadHOG Chapter Magazine – if for any reason you desire NOT to receive the GWC digital
magazine, a member can easily unsubscribe, or request to have their email address removed from the GWC active list of recipients.

Please note, GWC reserve the right to remove information a member might contribute to the website if deemed inappropriate.

Please note, there is a Password Reset functionality available on the GWC website.
Sharing your information;
The GWC Website is powered by Wix.com who are the GWC third party web services provider. Wix.com are committed to ensuring data is processed in accordance with applicable data privacy laws, and is kept secure.
When someone visits the GWC website, Wix collects standard internet log information (IP address, browser, and type of device) and details of visitor behaviour patterns (where a person joined the site from, the path taken through the site and where a person leaves). These are stored against unique ID’s (which are strings of numbers). Hostinguk.net collects this information for the legitimate business purpose of monitoring the number of visitors to various parts of the site, the general geographic location of visitors and engagement levels. This in turn, enables us to make improvements to its websites and services and provide business intelligence. This information is only processed in a way which does not identify anyone. The data is kept indefinitely.
GWC make use of a analytics tools from Wix.com which tells GWC about the way people are using the GWC website. Wix Analytics uses cookies to detect if someone has been to the site before, so that GWC can see how often people return to the site, how long they stay, and where on this website they tend to go. GWC use this to try to work out what kind of experience people are having on the site. GWC use this data to improve the website experience.

If a member is a Road Captain or Road Marshal their contact details will be shared with the other Road Captain & Road Marshal’s in the team they are allocated to.
Law Enforcement – we will fully cooperate with UK law enforcement agencies if required.
How we protect a members’ information:
GWC take appropriate physical, electronic and managerial measures to ensure all data/information is secure, accurate and up to date. GWC only keep personal information for as long as is reasonable and necessary.
Where appropriate the website uses appropriate SSL certificates as signified by a padlock icon in the browser.
Although we use appropriate security measures, it should be noted that once we have received a members personal information, the transmission of information over the internet is never completely secure. GWC do their best to protect personal information, but GWC cannot guarantee the security of information transmitted to our website, so any transmission is at the user’s own risk.
What GWC don’t do:

Sell or share any information to third parties.

Store any method of credit / debit card / payment information.

Permit third parties outside of the Committee, website development partner or H.O.G.® to
access the website operational systems.
GWC do not have access to your website password. Passwords are each GWC members responsibility to maintain. GWC may reset passwords, for website security reasons or at the request of an account holder member.
GWC won’t use a members’ email address to invite them to social media platforms. A member can request to join the Great Western Chapter Facebook (FB) pages if they chose. The GWC FB pages are administered by committee members (as administrators) and prospective GWC FB page members are required to sign a user agreement form (on the FB pages) before being admitted to the GWC FB pages. GWC have a YouTube channel. Members can opt to view content if they wish and at their own risk.
Retention of Data:

Your personal information will be stored for as long as you are a member of GWC.

GWC review expired member accounts annually. Members who do not renew their GWC
membership after 3 months of the renewal date passing, will have their personal information deleted from the GWC databases.
Viewing the information GWC hold on a member:

Members can review and update their information at any time.
Withdrawing or amending data or consent choices:

Members submit their own data and are responsible for keeping their data updated. Members can remove their personal data on the membership platform, social media pages or payment platforms at any time.
Leaving Great Western Chapter or H.O.G.®:

Your website account will be disabled and deleted as part of an expired account review. Please note, GWC do not offer refunds for members leaving part-way through a membership period.
